Privacy Policy

1. Who we are

ViaHub (“we”, “us”) provides the ViaHub trip-planning app. This Privacy Policy explains what personal data we collect when you use ViaHub, why we collect it, who we share it with, and the choices and rights you have. If you have any questions, you can reach us through the in-app Help form (Profile → Help, category “Privacy Question”).

2. Information we collect

Account information: your name, email address, and password (your password is stored and verified by our authentication provider, Supabase — we never see it in plain text). Profile information: country of residence, nationality, preferred currency, visited countries, and an optional profile photo, if you choose to add them. Trip content: the trips you create or are invited to, including destinations and dates, accommodation and excursion details, notes, budgets, expenses, and cost-splitting information. Travel companion information: if you invite someone to a trip, we store the name and email address you provide for them, so they can be linked to that trip. Support requests: if you contact us through the in-app Help form, we collect the topic, message, and any screenshots you choose to attach, together with your email address so we can reply. We do not knowingly collect any special-category data (such as health, religious, or biometric information) through the app.

3. How we use your information

We use your information to: create and secure your account; let you plan, view, and share trips; calculate and display cost splits and balances between you and your travel companions; send you emails you request or that are necessary for the service (account confirmation, password reset, trip invitations, Email Extract reports, support replies); generate weather forecasts for your trip dates and locations; power the optional AI trip-planning assistant when you choose to use it; and respond to support requests.

4. Marketing communications (optional)

During sign-up, you can optionally check a separate box to receive occasional marketing emails from us (such as product news or trip-planning tips) at the email address you registered with. This is entirely optional and is never required to create an account or use ViaHub. You can ask us at any time to stop receiving these emails through the in-app Help form (Profile → Help, category “Privacy Question”); this will not affect the essential emails needed to operate your account (such as confirmations, password resets, or invitations).

5. Sharing with travel companions

ViaHub is built around sharing trips with other people. If you are added as a travel companion on a trip, the trip owner and other companions can see the trip details, and any accommodation, excursion, or expense items shared with you. Cost items you choose to split are visible to the specific people they are split with, so balances can be calculated correctly. We do not share your data with companions on trips you are not part of.

6. Third parties who process data on our behalf

We use a small number of service providers (“processors”) to run ViaHub. They only receive the data needed to perform their specific function, and are not permitted to use it for their own purposes: • Supabase – hosts our database, handles account authentication, and stores uploaded profile photos. • Resend – delivers the transactional emails ViaHub sends (confirmations, invitations, reports, support replies). • Google (Gemini API) – only if you use the optional AI trip assistant: the question you type is sent to Google to generate a response. Nothing is sent to Google unless you actively use this feature. • Open-Meteo – receives only the location and dates needed to fetch a weather forecast for your trip; no account or personal data is sent. We do not sell your personal information to anyone.

7. Data retention

We keep your account and trip data for as long as your account exists, so that the app continues to work as expected. If you delete your account, your profile and every trip you own (along with its timeline, accommodation, excursion, notes, and expense data) is permanently deleted. If you were a travel companion on someone else's trip, your name stays on that trip as a record, but is no longer linked to your account.

8. Your rights

Depending on where you live, you may have the right to access, correct, export, or delete your personal data, and to object to or withdraw consent for marketing communications. You can review and correct most of your profile information directly in the app. You can permanently delete your account and all associated data at any time from Profile → Delete Account. For any other request, contact us through the in-app Help form (Profile → Help, category “Privacy Question”).

9. Children

ViaHub is not directed at children, and we do not knowingly collect personal data from children under 16. If you believe a child has provided us with personal data, please contact us so we can remove it.

10. Security

We rely on our providers' industry-standard security practices, including encryption of data in transit, and database-level access rules (Row Level Security) that restrict each account to only the trip data it owns or has been explicitly given access to.

11. International data transfers

Our service providers may process and store data on servers located in countries other than your own, including outside the European Economic Area. Where this happens, our providers maintain appropriate safeguards for that transfer.

12. Changes to this policy

We may update this Privacy Policy from time to time. If we make material changes, we will update the “Last updated” date above and, where appropriate, let you know in the app.
